Scan to email for Microsoft 365 offices and MSPs

Keep your scanners emailing after Microsoft switches off basic auth.

A hosted relay for Microsoft 365. Scans go out through your own Microsoft 365, not a third-party mail service, so Sent Items, retention and audit keep working. No server, static IP or firmware update.

550 5.7.30 Basic authentication is not supported for Client Submission

If your copier shows this, or soon will, you’re in the right place.

What’s changing

  1. Sept 2025

    First announced cutoff. Postponed.

  2. Mar–Apr 2026

    Second cutoff. Postponed again.

  3. End of Dec 2026

Off by default for existing tenants. Admins can switch it back on, for now.

  4. Jan 2027

Tenants created from here on can’t use it at all.

  5. 2nd half of 2027

Microsoft announces the date it’s removed for good.

Switching it back on buys time. It doesn’t fix anything, and it keeps a password-only way into your tenant open until Microsoft closes it for you.

What breaks

Anything that sends email through Microsoft 365 with a plain username and password typed into its settings. When basic auth is off, it stops sending, usually without telling anyone.

  • Copiers and MFPsscan to email
  • Accounting and line-of-business appsinvoices, statements
  • NAS and backup boxesjob and disk alerts
  • Alarm panels and camerasevent notifications
  • UPS and server monitoringpower and health alerts

The proper fix is modern sign-in (OAuth) on the device itself. Some newer copiers have it. Many older ones will never get the firmware, and most apps and alarm panels weren’t built for it.

When Microsoft changes the rules again, your copiers don’t change.

In two years the cutoff moved three times, High Volume Email became paid, and Azure Communication Services Email was scheduled for retirement. ScanFerry sits between your devices and Microsoft. When Microsoft changes something, we update ScanFerry, and every copier keeps the same settings.

The whole change on the copier: a new server name and its own login.
  1. 1

    Connect your Microsoft 365

An admin approves ScanFerry once and picks the mailboxes it may send as, for example scans@. Nothing else.

    Mail.Send, limited to chosen mailboxes

  2. 2

    Point each device at ScanFerry

Change the server and login on the copier. Every device gets its own short password that older copiers accept, and nothing on the device ever needs renewing.

    smtp.scanferry.com · 587 · STARTTLS

  3. 3

    Scans arrive as before

Mail goes out from your own mailbox, shows up in Sent Items, and every send is logged where you can see it.

    Delivered through Microsoft Graph

Built for your security review

You’re giving a service permission to send mail as your company. Here is exactly what that permission covers, and what it never does.

  • Least privilege

Mail.Send only, limited to the mailboxes you pick with Exchange’s RBAC for Applications. No read access.

  • Never an open relay

Every device signs in with its own credentials. Optional office IP lock, plus per-device and per-tenant limits.

  • Encrypted end to end

TLS 1.2 or later from the device to ScanFerry by default, and HTTPS from ScanFerry to Microsoft Graph.

  • No message storage

Messages are relayed and discarded. Only the log entry is kept: time, device, sender, recipient, result.

  • Alerts, not silent failures

Every send is logged. If a device stops sending or Microsoft rejects a message, you get an email that day, not a complaint a week later.

  • Revoke in one click

Remove ScanFerry in Entra and sending stops straight away. No agent or software left behind.

ScanFerry never

  • Reads anything in your mailboxes
  • Sends as anyone you didn’t choose
  • Accepts mail from a device that hasn’t signed in
  • Sends marketing or bulk email

Paperwork for your records

  • A data processing agreement (GDPR) for every customer.
  • A one-page data-flow and permissions summary for your security file.
  • Answers to your security questionnaire on request.

Questions

Can’t I just switch basic auth back on?
For now, yes. After Microsoft turns it off by default at the end of December 2026, an admin can turn it back on. But Microsoft has said it will remove it for good, with the date announced in the second half of 2027, and tenants created from January 2027 can’t use it at all. Until then it leaves a password-only way into your tenant open.
What about Microsoft’s High Volume Email?
High Volume Email only delivers to people inside your own organization. Scan-to-email often goes outside: to clients, suppliers and accountants.
Can we use it for patient, client or financial documents?
Scans go out through your own Microsoft 365, so your Microsoft retention, audit and data-loss rules still apply, and ScanFerry doesn’t keep message content. If you need a signed BAA or a data processing agreement, tell us when you reserve.
What happens when Microsoft changes things again?
That’s our job. ScanFerry talks to Microsoft through its supported API (Microsoft Graph). If Microsoft changes something, we update ScanFerry, and your copiers keep the same settings.
Will it work with my copier?
If the device can send email with a server name, port, username and password, yes. Device passwords are short, because many older copiers can’t take long keys. At launch there will be step-by-step guides for Canon, Ricoh, Xerox, HP and Konica Minolta. If yours only supports older encryption, tell us the model when you reserve.
How long does setup take?
About 10 minutes for the first device: an admin approves ScanFerry in Microsoft 365, then you type the new server and login into the copier. Each extra device takes a couple of minutes.
What permission does it need, and can I take it back?
An admin grants Mail.Send, and ScanFerry is restricted to the mailboxes you choose with Exchange’s RBAC for Applications. You can remove ScanFerry in Entra at any time, and sending stops straight away.

Scan-to-email breaks quietly, usually on the morning someone needs it. Reserve a spot and be set up before then.
